JETAADC is now accepting platforms submissions for the 2017 JETAADC Board. If you would like to run for a JETAADC officer position, review the position descriptions below and submit a platform for the position in which you are interested by Monday, March 27 to secretary@jetaadc.org

 

In order to run for any position, you need to reside in Washington, DC, Virginia, or Maryland. To run for an Executive Board position (President, Vice President, Treasurer, or Secretary), you must be an active member of JETAADC (having attended at least four meetings or events in 2016 JETAADC year). Monthly meetings are generally conducted in downtown DC.

Position Descriptions:

PRESIDENTpresident@jetaadc.org
  • Responsible for the overall business and affairs of JETAADC and strategic direction of the organization.
  • Generally supervise officers and committee chairs, and approve board activities, budget, and publications in conjunction with the Executive Board.
  • Schedule regular meetings and preside over their implementation.
  • Complete reports for JETAA USA, USJETAA, and CLAIR as necessary.
  • Represent JETAADC to outside organizations and the general public.
  • Work with the Treasurer to file required forms and reports with the federal and local government to maintain the organization’s 501c3 status.
  • Actively promote and attend JETAADC functions.

VICE PRESIDENTvicepresident@jetaadc.org
  • Assist President as required. Fulfill President’s duties in the absence or disability of the President.
  • Stay in close contact with committee chairs throughout the year. In conjunction with the Executive Board, manage internal board business and ensure officers have needed support to complete their events and activities.
  • Support President in establishing and developing relationships for the organization including with USJETAA, JETAA USA, and JETs@State.
  • Contribute to organization event implementation as needed.
  • Actively promote and attend JETAADC functions.

SECRETARYsecretary@jetaadc.org
  • Record minutes of all official chapter meetings and post notes in a timely manner. Be available to take minutes at other functions as deemed appropriate by the President.
  • Conduct yearly election process as allowed by the Bylaws and in conjunction with the Executive Board.
  • Provide information about JETAADC as an organization and membership when necessary.
  • Collect and update new and existing membership information in database and provide quarterly reports, work closely with the board and chairs to identify alumni in the region (for events, services, etc.), and work with Communication Chair to organize annual Membership Drive.
  • Approve pending messages and new member requests posted to Google account as they are submitted (completed in tandem with Communications Chair and Technology Chair). Send Official JETAADC Welcome Message to each new member upon approval of membership to the Google Group.
  • Coordinate one 10+ event each year, and assist with other events as needed and able.
  • Maintain Google Drive (in conjunction with Technology Chair as appropriate) and general records of JETAADC, and remind chairs to maintain their folders and accurate records of their yearly activities.
  • Actively promote and attend JETAADC functions.

TREASURERtreasurer@jetaadc.org
  • Responsible for maintaining accurate records of the chapter account(s) and providing documentation to the officers and members.
  • In deliberation with the Executive Board and committee chairs, advise each officer on how to spend and manage their allocated funds for the year.
  • Deposit and disperse funds in a timely manner.
  • Consult closely with the full board when preparing Grant-in-Aid materials in accordance with CLAIR guidelines and regulations. Complete necessary paperwork throughout the year if Grant-in-Aid allocations change.
  • Submit receipts and required receipts submission forms to CLAIR as per instructions.
  • Work with the President to file required forms and reports with the federal and local government to maintain the organization’s 501c3 status.
  • Actively promote and attend JETAADC functions.

SOCIALsocial@jetaadc.org
  • Plan 1 social and/or volunteer activity every other month (or more if able) for alumni members and friends of JET. Past events have included DC School Clean-up Days, happy hour/trivia nights, Japan Day, Bonenkai, etc.
  • Keep overall calendar in mind and plan events accordingly by coordinating with fellow board members.
  • Attend planned events or make sure other officer can attend before confirming dates.
  • Research activities and create innovative ways for members to get involved. Check prices, locations, directions, etc.
  • Advertise and manage events through email listserv, monthly newsletter, Google docs, Facebook, etc., with assistance from the Communications and Technology Chairs.
  • Collect any fees (e.g. for Bonenkai), RSVPs, etc. and coordinate closely with Treasurer.
  • Keep track of number and type of attendees and complete end of year write-up for each planned and executed event.
  • For volunteer events, recruit and coordinate with volunteers and the host/sponsor to determine logistics.
  • Assist other officers with events/activities as needed (especially events like networking) and work with outside collaborators (e.g. JET Office, JASW, JCAW) to plan events.

PROFESSIONAL DEVELOPMENTprofessionaldevelopment@jetaadc.org
  • Reach out to new and dormant JET alumni along with non-JETs to increase the network that JETs can use to look for jobs, advance their careers, and to find potential career panelists or presenters for the Career/Grad School Workshop and other events.
  • Research and inform members of helpful job fairs, websites, or relevant job openings in the DMV (DC, Maryland, Virginia) area via the listserv, newsletter, and website.
  • Organize and coordinate the Career/Grad School Workshop. Coordinate with embassy staff to line up meeting space, speakers, presenters, and volunteers.
  • Plan additional activities such as networking Happy Hours, webinars, and other professional and related events.
  • Coordinate with the Communication Chair to announce schedule in Newsletter, website, listserv and Facebook.

COMMUNICATIONScommunications@jetaadc.org

The Communications Chair is responsible for creating and curating content to inform members and to encourage member engagement.

  • Create, schedule, post, and promote regular content on JETAADC’s website, social media (Facebook, Twitter, Instagram) platforms, and other digital/online resources as necessary.
  • Collaborate with other JETAADC officers to develop strategies and guidelines for creating content and collateral for promoting JETAADC-related events.
  • Oversee the creation of monthly JETAADC Newsletter through MailChimp to notify members of upcoming events and other relevant news/information, as well as through the Google Groups listserv.  
  • Liaise with other JET-related organizations (i.e. JETWit, AJET, and Country Representatives) to cross-post JETAADC content on their websites; research new partnerships.
  • Develop communications strategy with Executive Board, Membership Coordinator and Technology Chairs. Review metrics from website and social media platforms to improve communications efforts; report how findings relate to strategy.

TECHNOLOGYtechnology@jetaadc.org

The role is responsible for the management of the chapter’s technology infrastructure and maintaining a strategic vision for the chapter, which should align its technology resources to better serve its mission. ​

  • Manage the chapter’s website (front and back-end) and permissions for the website.
  • Manage the administration of the website’s domain and hosting (including arranging and managing payments to either be paid for by JETAADC or reimbursed by the Treasurer).
  • Review and update the static pages of the JETAADC website as needed.
  • Manage (or co-manage as necessary) the administration of the chapter’s other online and social media resources: Twitter, LinkedIn,Facebook, Instagram, MailChimp, Google (Legacy) account (including public Groups), Google Suite account, etc.
  • Manage and deliver analytic reports to the board associated with the website and other digital resources as necessary. ​
  • Coordinate with Communications Chair: thought leadership regarding how the chapter organizes its technology infrastructure and social media strategy, and how these processes serve the overall goals of
    the chapter.
  • Issue resolution when chapter and/or board members experience issues with any of its digital resources.
  • Advise the board and chapter on implementing new digital resources to further its mission.

MEMBERSHIP membership@jetaadc.org
  • Collect demographics on new and existing members and update member database as necessary.
  • Work closely with the Executive Board and other chairs to identify alumni in the region and areas where we can increase alumni involvement.
  • Ensure that member contact lists are up-to-date and works with the Communication Chair to organize annual Membership Drive.
  • Give a quarterly report on membership activity at officer meetings.
  • Coordinate with the Communications Chair and work on regular member features for the website.
  • Assist other board members as necessary.

JET AMBASSADORSjetambassador@jetaadc.org

As the brainchild of Former Ambassador Fujisaki, the JET Ambassadors Program is a volunteer-based program allowing JET alumni to visit local DC and surrounding area schools and share their experiences from Japan through interactive self-designed presentations. The program aims to educate newer generations about Japan and raise international awareness throughout the community, as well as give former JETs the chance to reconnect with their own experiences.

  • Promote the program in the area and recruit alumni volunteers for participation.
  • Coordinate school presentation requests from the Embassy of Japan.
  • Liaise between the Embassy and JET presenters to ensure a smooth program implementation.
  • Outreach to find new schools and teachers interested in hosting a JET Ambassador.
  • Submit activity reports and honorarium invoices for presentations.
  • Oversee interactions between presenters and teachers to ensure a smooth and successful presentation.

THOUGHT LEADERSHIP/JET TALKSjettalks@jetaadc.org

This Chair position was created out of an idea to help inform audiences and spread new ideas about Japan in a TED Talks-like setting.  The role of this board member is to organize and coordinate three-four JET Talks a year on cultural aspects and/or current events in Japan. This board member uses creativity and resourcefulness in deciding on speakers, topics, and venue options.

  • Reach out to potential speakers based on their work or interest involving Japan.
  • Plan well in advance for date and topics of upcoming/future JET Talks and coordinate with other Chairs regarding possible conflicting event dates.  
  • Confirm speakers and help guide upcoming speaker on topic.
  • Confirm potential venues for JET Talks based on audience, cost, and timing of the talk.
  • Organize JET Talks with the speaker and the venue while staying within the budget.
  • Coordinate with the JETAA Board and volunteers needed to assist with the events as necessary.
  • Announce JET Talks and other events via social media and email to JETAA members and the public.
  • Follow-up with the speaker, venue, audience, and JETAA Board to evaluate the JET Talks and other events.
  • Highlight the event via the blog and other forms of social media.
